Privacy Policy

1.1 As the organiser of the event, you retain full responsibility for ensuring that a satisfactory risk assessment has been carried out for the event. You will also retain full responsibility for the safety and wellbeing of everyone at the event.

1.2 You must ensure that if required, the event is properly policed and or managed, to prevent CS personnel finding themselves in an unreasonable or threatening position.

1.3 You must ensure that an area for the treatment of patients is clearly defined. A dry, covered clean area needs to be provided by either you or by CS (if provided by CS, it will be at an additional cost). Please ensure there is drinking water and toilet facilities available for both patients and staff.

1.4 Please ensure that we have free and clear access and egress to and from the site(s) of the event and adequate parking for our vehicles.

1.5 Please identify any other medical or first aid personnel at the event to us so if required, we can agree working practices and if appropriate, make use of these personnel if relevant in a significant emergency.

1.6 You must adhere to any request from CS to suspend the event if warranted due to unreasonable danger for our staff or the event becoming too dangerous.

1.7 Event management and their staff should be made aware by you of where the first aid post, personnel and our vehicles are located, to assist any requests from us to allow effective treatment of participants or spectators.

1.8 If you have produced maps or plans for your event, please ensure CS personnel are provided with them. It is your responsibility to ensure an appropriate system / route of communication is made known to us. All of our staff will be in direct communication via radio or phone – please ensure the CS Team leader is aware of the wider communication methods at the event.

1.9 You are responsible for ensuring that all the necessary licenses to operate the event have been obtained and for compliance with all conditions associated with such licenses and in respect of all relevant legislation, regulations or similar. If we identify that you have not complied with these requirements we may treat this as a serious breach of this agreement and will be entitled to terminate our services. If we terminate our services in this instance this will not affect our rights to be paid for our services (whether performed or not).

2. Our responsibilities (and limitations)

2.1 We will provide first aid services at the event in line with current best practice guides and current medical and first aid delivery. These services are provided subject to the following limitations and should not be viewed as a substitute for any need for registered doctors, nurses or paramedics at the event if your risk assessment identifies this specific need and we have not agreed to provide this level of cover.

2.2 We may carry out our own risk assessments for our purposes. You remain fully responsible for the event as event organisers.

2.3 CS will take responsibility for the health and safety of anybody deployed by CS and we will manage our legal obligation under the Health and Safety at Work Act.

2.4 There may be reasons for CS personnel to need to leave the event (examples listed below) – if this is the case; we reserve the right to leave the event without notice. We accept no liability for any losses you may incur resulting from us leaving.

a. To obtain further medical care for any person being treated;

b. In the unlikely event of a life threatening emergency occurring in the vicinity of your event, members of the medical team may be requested to respond (subject to reduced first aid provision remaining at the event).

2.5 CS shall not be liable under any circumstances, for any damage to land, property or personal belongings in the event of treatment to or access being required to a casualty or to allow egress to or from a site.

2.6 Neither CS nor our personnel shall have any liability to you or any third party, for any loss, expense or damage of any nature, suffered or occurred arising from any breach of any condition of the agreement or any negligence or any breach of statutory or other duty or in any other way in connection with performance or purported performance of or failure to perform the agreement. But nothing in this contract shall be taken to exclude liability to any patient resulting from CS negligence.

2.7 We shall not be liable for any failure in performance of any of our obligations under the Agreement caused by factors outside of the control of CS (including but not limited to; fire, storm, flood, road traffic collisions, traffic congestion, vehicle failure, adverse weather etc).

2.8 Failure to meet the requirements of this section may be treated by CS as a serious breach of this agreement, in which case CS will be entitled to terminate our services but this will not affect our rights to be paid for our services (whether performed or not).

3. Charges by Catapult Services (CS)

3.1 Event charges will be outlined to you prior to the event in the form of a quote. If however there are unforeseen costs, CS will advise you at the time and invoice you following the event.

3.2 Where the event lasts longer than 4 hours, time must be allowed for CS personnel to take breaks – Please advise us if you are unable to provide food for our staff so that we can take suitable steps.

3.3 Once at the event, the finish time agreed prior to the event will be considered as the finish time of the event. If an event continues beyond this finish time, CS reserves the right to leave the event at the specified finish time. Any possible overrun must be discussed with CS. Where personnel are willing to remain at the event, the relevant additional charges will be invoiced.

3.4 If you wish to cancel your request for CS to attend at your event or change the date or times of the event, you need to contact us by email. Cancellations received less than 5 days prior to the event will incur a full charge; cancellations of less than 10 days prior to the event will incur a 40% charge. Events cancelled more than 10 days prior to event will incur no charge.

3.5 In most instances, CS will make use of the local NHS Ambulance service to transport a patient to hospital (if required). If this is required to take place at or near the end of the event and this requires CS to remain on site for more than 30 minutes after the agreed event finish time, there will be a charge as CS cannot be held responsible for delays caused by the NHS Ambulance Service.

3.6 Terms of payment are 14 days from the date of invoice or at least 10 days prior to the event. In some instances, a deposit may also be required. If payment is not made on the due date, interest may be charged or CS may cancel attendance at the event.

4. Information provided to and by Catapult Services (CS)

4.1 If, in our opinion, a suitable level of cover cannot be agreed, or, the event appears before or during puts us at an unacceptable risk of injury or illness, CS reserve the right not to proceed with providing services. However, it remains your sole responsibility as the event organisers to ensure that the level of cover requested complies with all statutory regulations and requirements laid down by any governing body relating to such an event.

4.2 Our willingness (and the fees quoted) to provide resources is made on the understanding that the details of the event submitted to CS are accurate and correct. If we are notified of changes to these details, such as levels of resources, duration, time or location of event, we reserve the right to revise our fees, or to reconsider our acceptance of the event. If upon arrival at the event, we consider the event to be larger or of a higher risk than previously agreed, we reserve the right to withdraw from the event. In such circumstances all reasonable effort shall be made to advise the contact name at the time of booking of the reasons for withdrawal. Should it be necessary at this stage to withdraw from the event, full charges will apply for the resources provided, and we accept no liability for any loss you may incur due to the termination of the event in such circumstances.

4.3 With regard to details of persons treated by CS, personal information will be dealt with in line with the Data Protection Act 1998 – we will only provide a summary of incidents dealt with but this information will not include any personal information unless agreed with all persons that have been treated.

5. In the unlikely event of complaints about Catapult Services

5.1 Any complaints or disagreements regarding CS services or CS personnel should be taken up with CS at the event. If the issue cannot be resolved, all complaints must be emailed to us at info@catapultservices.co.uk

5.2 We may utilise the services and staff of other companies. In this case, any claims for negligence, malpractice or mismanagement including legal proceedings will be dealt with by those companies respectively and not by CS.
